Registration and fees

  • When does registration open and what will it cost?

    Registration for the 2019 conference will open March 27. Conference rates for a regular attendee are $595-$729.

  • Is there a group discount?

    Yes, a discount will be available for groups of three or more. We also offer a group rate for the virtual conference option. Check back in March when the registration page is available with more information about both of these options.

  • What’s included in the conference fee? Conference registration includes access to the following:
    • Keynote and featured speakers
    • More than 120 sessions from Tuesday through Thursday
    • Conference orientation session on Tuesday; this is free, but you must pre-register
    • The Exhibit Hall (open Tuesday and Wednesday) with a networking reception, Learning Stage presentations, and dessert reception
    • Guidebook, the conference app
    • Digital publication with proceedings, papers, and session summaries
    • Presenter handouts
    • Light continental breakfast Tuesday through Thursday
    • Lunch on Wednesday and Thursday

    NOTE: The fee does not include lodging or parking. There are separate fees for certain pre-conference events, including workshops, the Tuesday networking luncheon, and conference blended certificate

  • When and how will I receive a receipt for my registration?

    The Registration Office will send you a confirmation email and receipt once you have registered and paid.

  • When will I receive my other registration materials?

    We will email you a link to Guidebook one week before the conference begins; this is a conference-specific app for your smartphone to help you plan your experience and schedule.

    When you arrive at the Monona Terrace Convention Center, stop by the registration desk on Level 4 to pick up your name badge, program/schedule, and other conference materials.

  • Can I register for just one day of the conference?

    At this time, we are unable to offer single-day registrations for Wednesday or Thursday. If you are only able to attend the pre-conference workshops on Tuesday, you may register for these and pay the workshop fees.

  • What if I need to cancel my registration?

    If you need to cancel, contact the Registration Office at 608-262-0810. When you call, be sure to obtain a cancellation number. Depending on the date of cancellation, you may receive a refund. See the registration page for more information.

  • Can I transfer my registration to another person?

    If you are unable to attend the conference, you may transfer your registration to a colleague. You must let us know in advance who will be attending in your place. Check back in March for details on the registration page.

  • Are scholarships available for this conference?

    We are unable to offer scholarships at this time, but we do provide excellent discounts for full-time students and groups of three or more. Check back in March for details on the registration page.

  • What’s the difference between the virtual conference and the regular conference? Which is the best fit for me?

    The face-to-face conference provides access to all of the speakers and presentations, plus many opportunities to network, share ideas and experience Madison with other distance education professionals.

    The virtual conference is ideal for people who do not have the budget or the time to make it to Madison. It is a way to experience highlights of the event, including keynote and featured speakers, from nearly anywhere. All you need is a computer or smartphone with reliable internet access.

Food and drink

  • What meals are served at the conference?
    • Light, continental breakfast each morning (coffee, juice, fruit, and pastries)
    • Tuesday afternoon reception in the Exhibit Hall (appetizers and cash bar)
    • Brunch or lunch on Wednesday and Thursday
    • Dessert reception in the Exhibit Hall on Wednesday afternoon

    NOTE: The Tuesday networking luncheon has an additional fee, OR it is complimentary if you register for two pre-conference workshops or one of the conference blended certificates.

  • I have dietary restrictions. Can you accommodate them?

    The convention center’s catering staff can meet the needs of most attendees with food allergies. Vegetarian, vegan, lactose-free, and gluten-free meals are available upon request when you register. These accommodations are available for no additional fee, as long as we have ample time to notify the catering staff. If you have other dietary restrictions, please indicate them on the registration form, and we will alert the catering staff.

  • Can you recommend some other places to eat in Madison?

    There are many wonderful places to eat in Madison. Visit the Greater Madison Convention & Visitors Bureau’s restaurants page for a few ideas.
