Registration and fees
• When does registration open?
- Registration for this year’s conference opens March 27. See the registration page for details.
• What does registration cost?
- Head to the registration page for a full breakdown of pricing, including details about our rates for early-bird registrants.
• Is there a group discount?
- Yes, a discount is available for groups of three or more. We also offer a group rate for our virtual conference. See the registration page for more information about both of these options.
• What’s included in the conference fee?
Conference registration includes access to the following:
- More than 100 sessions happening between Tuesday at 3pm and Thursday at 2pm
- An orientation session taking place during registration on Tuesday. When you register, please indicate if you’ll attend the morning or afternoon session.
- The Exhibit Hall, which is open Tuesday at 2pm to Wednesday at 4pm. Go here for a reception on Tuesday at 4pm and a dessert reception on Wednesday at 3:15pm.
- Guidebook, the conference app
- Presenter handouts
- Light continental breakfast Tuesday through Thursday
- Awards lunch on Wednesday and keynote lunch on Thursday
- Digital publication with proceedings papers and session summaries
- The basic conference fee includes access to keynote, spotlight, and featured speakers, more than 100 concurrent sessions, networking events, the Exhibit Hall, the Guidebook conference app, a digital publication containing conference proceedings, and specific meals. - The fee does not include lodging or parking. There are, also, separate fees for pre-conference workshops, the Tuesday networking luncheon, and conference certificates, which you may add when you register.
• When and how will I receive a receipt for my registration?
- The Registration Office will send you a confirmation email and receipt once you have registered and paid.
• When will I receive my other registration materials?
- We will email you a link to Guidebook, a conference-specific app for your smartphone, one week before the conference begins. Use it to plan your experience, including which sessions you’d like to attend. When you get to the Monona Terrace Convention Center, stop by the registration desk on Level 4 to pick up your name badge, handbook, and other conference materials.
• Can I register for just one day of the conference?
- At this time, we are unable to offer single-day registrations for Wednesday or Thursday. If you are only able to attend the pre-conference workshops on Tuesday, you may register for these on the registration page. You will pay workshop fees plus a modest surcharge.
• What if I need to cancel my registration?
- If you need to cancel, contact the Registration Office at 608-262-0810. When you call, be sure to obtain a cancellation number. Depending on the date of cancellation, you may receive a refund. See the registration page for more information.
• Can I transfer my registration to another person?
- If you are unable to attend the conference, you may transfer your registration to a colleague. You must let us know in advance who will be attending in your place. See the registration page for details.
• Are scholarships available for this conference?
- We are unable to offer scholarships at this time, but we do provide excellent discounts for full-time students and groups of three or more. See the registration page for more information.
• What’s the difference between the virtual conference and the regular conference? Which is the best fit for me?
- The face-to-face conference provides access to all of the speakers and presentations, plus many opportunities to network, share ideas, and experience Madison with other distance education professionals.
- The virtual conference is ideal for people who do not have the budget or the time to make it to Madison August 7-9. It is a way to experience highlights of the event, including keynote and featured speakers, from nearly anywhere. All you need is a computer or smartphone with reliable internet access.
Food and drink
• What meals are served at the conference?
- The conference provides a light, continental breakfast each morning (coffee, juice, fruit, and pastries); Tuesday afternoon reception in the Exhibit Hall (appetizers and cash bar); lunch on Wednesday and Thursday during the plenaries; and a dessert reception in the Exhibit Hall on Wednesday afternoon.NOTE: On Tuesday there is a networking luncheon which is an additional fee, OR it is complimentary if you register for two pre-conference workshops.
• I have dietary restrictions. Can you accommodate them?
- The convention center’s catering staff can meet the needs of most attendees with food allergies. Vegetarian, vegan, lactose-free, and gluten-free meals are available upon request when you register. These accommodations are available for no additional fee, as long as we have ample time to notify the catering staff. If you have other dietary restrictions, please indicate them on the registration form, and we will alert the catering staff.
• Can you recommend some other places to eat in Madison?
- There are many wonderful places to eat in Madison. Visit the Greater Madison Convention & Visitors Bureau’s restaurants page for a few ideas.
Travel and lodging
• Where should I stay during the conference? Can you recommend some nearby hotels?
- We secure reduced rates for conference attendees at several hotels near the Monona Terrace Convention Center. See our hotels page for lodging options near the convention facility.
• Is there a shuttle between my hotel and the conference center?
- We provide a shuttle van to and from the conference hotels and the Monona Terrace Convention Center at specified times (early mornings, lunchtime, and end of day). Most of the hotels are also within walking distance from the convention center.
• What if I’m not staying at one of the hotels on your list?
- You are responsible for your own transportation to the convention facility. We are unable to provide shuttle service to all area hotels.
• What airports service Madison, Wisconsin?
• How do I get to the conference from the airport?
- Most of the conference hotels provide airport shuttle service. Contact your hotel for assistance if you’re flying into Dane County Regional Airport.
The conference center
• Where does the conference take place?
• Is there parking at the conference center? How much does it cost?
- There is a parking ramp at the Monona Terrace Convention Center, but parking is not included in the registration fee. Parking costs about $16 per day. There are also city parking ramps nearby.
• Is free Wi-Fi available at the conference center?
- Yes. You will find login instructions in your conference materials.
• How do I navigate the conference center?
- When you arrive at the Monona Terrace Convention Center, head to the registration desk on Level 4. Once you have registered, look for a map of the venue in your conference handbook and program. You can view this map ahead of time on the convention center’s website.
• Is there a space for nursing mothers?
- If you need a space to nurse, please let us know on the registration form in the Special Accommodations section. We will work with convention center staff to secure a space for you.
• I have a disability and may need accessibility accommodations at the conference center. What should I do?

Planning your experience
• What is the schedule of the conference?
• Is there an app for the conference?
- Yes. It’s called Guidebook, and we will email you the link one week before the conference begins. Use it to plan your conference experience, including which sessions you would like to attend.
• How do I download handouts and other resources from the conference?
- If provided by the presenters, these materials will be available for download through the Guidebook app. You will also receive a link to additional conference resources after the conference.
• I’d like to do some sightseeing in Madison. Where can I find information about local events and attractions?
- With beautiful lakes, the UW–Madison campus, unique shops, award-winning restaurants, the state Capitol, and much more, Madison is a wonderful place to explore. See Visit Madison and Travel Wisconsin for ideas. For additional suggestions, go to the bottom of our Travel and Location page.
• I need to apply for a visa to attend a conference in the United States. To do this, I need an invitation to the event. How can I get one?
- We recommend that you request an invitation letter prior to registering for the conference. Send your request to firstname.lastname@example.org. You are responsible for making arrangements with the appropriate embassy.
Exhibiting, sponsoring, and presenting
• My organization is interested in becoming a conference exhibitor or sponsor. Where can I find more information about this?
• I’d like to be a presenter at the conference. Where do I find details about that?
- The Call for Proposals is open every year from late November to mid-January. During this time, you may submit an online proposal for consideration and review. Check our website every fall to see the exact dates and how to submit. If you have attended the conference in the past, you will receive emails announcing this opportunity.
- If you have a specific question, please fill out the form on our contact us page.
• Is there any emergency contact number for the conference?
- If there is an emergency, conference staff will try to locate/contact you onsite. The staff information desk is generally open from 8am to 5pm Central Time on Tuesday and Wednesday, and 8am to 3pm on Thursday. Call 608-261-4170 if you need assistance.
• Can I earn college credits, continuing education units (CEUs), or digital badges at this event?
- You will need to complete a form to apply for Continuing Education Units from the University of Wisconsin–Madison. You may earn a digital badge if you register for one of theblended conference certificate options. (Additional fees apply.)
• Can I bring my family along?
- Many attendees do a bit of vacationing in Wisconsin before or after the conference. After all, Madison is a great city for the whole family to explore! While the conference does not provide child care, there are many family-friendly activities in the Madison area. See Visit Madison and Travel Wisconsin for ideas.
• Is there a dress code?
- We recommend that attendees wear business casual clothing to the event.
• What are the dates of next year’s conference?
- The 35th annual Distance Teaching & Learning Conference will take place August 6-8, 2019, in Madison, Wisconsin.
